WHS President
Time Commitment: 20 to 25 hours per month
Term: 2 years
The President provides leadership to the WHS Board of Directors and ensures adherence to bylaws. This role oversees all WHS operations, roles, and committees, while setting the overall vision and mission for the Association. The President represents WHS at Calgary Minor Softball and Softball Alberta meetings, leads initiatives with partner associations, and manages disciplinary matters or escalations to governing bodies. Additional responsibilities include informing and chairing Board agendas, moderating meetings as required, and overseeing branding and logo considerations.
VP Governance & Appeals
Time Commitment: 4 to 6 hours per month
Term: 2 years
Attends Board meetings to ensure quorum, record minutes, and track motions. This role oversees governance by reviewing WHS bylaws, standards, and policies annually or as required, while maintaining familiarity with Calgary Minor Softball and Softball Alberta bylaws. Responsibilities also include managing association certification, overseeing insurance and liability considerations, and advising the Appeals Officer in conflict resolution. The time commitment may increase during the playing season if significant matters arise.
VP Administration and Communications
Time Commitment: 5 to 10 hours per month
Term: 2 years
Manages pre-season communications, with the busiest period from January to March. This role serves as the primary contact for inquiries, directing them to the appropriate Board member and ensuring timely follow-up. Additional responsibilities include sending email communications to parents and community members and keeping the website information accurate and up to date.
VP Finance & Treasurer
Time Commitment: 5 to 10 hours per month
Term: 2 years
Manages all financial operations of WHS, including preparing the annual budget, quarterly financial statements, and year-end reconciliations. This role oversees financial administration such as processing invoices, managing the WHS bank account, and coordinating signatory authorizations. Additional responsibilities include submitting annual returns to Calgary Minor Softball and coordinating external financial reviews or audits of WHS books as required.
VP Development
Time Commitment: 5 to 15 hours per month
Term: 2 years
Leads the design and delivery of supplemental programs for players and coaches. This role requires heavier commitment during August–November and March–April for development clinics, with limited in-season responsibilities. Key duties include assigning coaches or hiring instructors for off-season training programs and coordinating with the Vice President, Facilities and Equipment, to secure facilities and necessary equipment.
VP Registration
Time Commitment: 5 to 15 hours per month
Term: 2 years
Manages all registration activities, with the heaviest time commitment from January to March during registration and roster submission. This role ensures team rosters are accurate, complete, and submitted to Calgary Minor Fastpitch by required deadlines, and oversees timely responses to association emails throughout the year.
VP Equipment & Field Maintenance
Time Commitment: 5 to 15 hours per month
Term: 2 years
Manages all aspects of equipment and field support, with the busiest periods during the off-season and in preparation for the regular season. Responsibilities include coordinating with the Vice Presidents of Development and Evaluations to meet equipment needs, overseeing inventory, and proposing equipment orders and budgets for Board approval. This role also manages the Sentinel Storage arrangement, organizes the distribution and collection of the team equipment, coordinates porta-potties, and arranges the annual used equipment swap meet. Additional duties include supporting CMSA with Fall Ball equipment requests.
VP Facilities
Time Commitment: 5 to 20 hours per month
Term: 2 years
Manages all facility-related needs for WHS. Key responsibilities include coordinating with the Vice Presidents of Operations and Evaluations to develop evaluation schedules, advising on facility rules and regulations, and working with the Vice President of Development to book facilities for off-season and pre-season programs.
VP Operations and Evaluations
Time Commitment: 5 to 20 hours per month
Term: 2 years
Oversees the evaluation process for all age groups, with the heaviest workload from December to March. Key responsibilities include assigning players to evaluation groups, ensuring the accuracy of evaluation inputs and results, and guiding Age Group Coordinators. This role also works with the President and Age Group Coordinators to form teams in alignment with Calgary Minor Softball guidelines.
VP Tournaments
Time Commitment: 5 to 10 hours per month
Term: 1 year
Oversees all tournament planning and coordination for WHS, with the heaviest workload occurring from May to June. This role manages the Hits and Spits Tournament, including delegation to the tournament committee and coordination of Division 2 and 3 events based on prior formats. The Vice President also plans the Division 1 tournament—typically held on Father’s Day weekend for U13, U15, and High School divisions—and coordinates pre-season tournament registrations across all age groups and divisions.
VP Umpires, Junior, Coaches & Scholarships
Time Commitment: 5 to 10 hours per month
Term: 2 years
Oversees programs that strengthen coaching, umpiring, and player development within WHS. Responsibilities include implementing a WHS umpire strategy to ensure teams are supported by qualified parent or junior umpires, organizing the annual Parent Umpire Clinic, and maintaining a list of junior coaches to allocate across teams with clear expectations of involvement. This role also leads the launch and administration of the WHS Scholarship Program, including its structure, qualifications, sponsorship, and review process.
VP Learn to Play
Time Commitment: 20-30 hours per season
The Vice President, Learn to Play manages all aspects of the U7 program. Key responsibilities include overseeing registration communication, forming teams, and assigning coaches. This role coordinates Opening Weekend festivities, ensures jerseys and equipment are distributed to U7 teams, and organizes the season wrap-up event.
VP at Large
Time Commitment: 5 to 15 hours per month
Term: 2 years
Supports the President by filling in, sharing, or assuming presidential duties as required, while providing additional decision-making support to the Association. Assists with special projects as needed, serves as a co-signing authority for cheques and the league bank account, and attends monthly WHS board meetings. Additionally, prepares meeting agendas and records minutes for monthly Association meetings.
Appeals Officer
Time Commitment: 5 hours per month
Term: 1 year
Serves as the primary contact for in-season conflicts involving players, parents, coaches, and umpires. This role responds to concerns from WHS coaches and parents and works with WHS coaches and Calgary Minor Softball to resolve conflict issues.
